M-Files for Salesforce CRM Brings Document-Driven CRM to the Cloud
Now available on Salesforce. com AppExchange 2, easy document management solution for Cloud CRM leader improves sales team productivity by organizing and tracking customer-related documents and making them instantly accessible within Salesforce CRM.
Dallas, TX (Vocus/PRWEB) December 15, 2010
Motive Systems, the developer of M-Files easy document management software and the Cloud-based document management service M-Files Cloud Vault, announced that M-Files for Salesforce CRM is immediately available for deployment on AppExchange 2. M-Files for Salesforce CRM is a cloud-based, professional document management solution that is tightly integrated with Salesforce CRM. Built using Force. com, the enterprise cloud-computing platform, M-Files for Salesforce CRM runs in the cloud — just like Salesforce — so there is no need to purchase or configure a server, one of the more technical and expensive aspects of traditional document management solutions. M-Files for Salesforce CRM is also available as an on-premise solution for those companies with massive amounts of documents that would make cloud storage cost-prohibitive, or for those with specific security policies that require certain documents to remain stored behind the company firewall.

M-Files for Salesforce CRM improves the efficiency and productivity of sales and service teams using Salesforce CRM by organizing and managing customer-related documents such as proposals, contracts, presentations, sales collateral and email correspondence. Just tag any document to related records in Salesforce CRM, such as leads, opportunities, accounts, contacts, or cases, and it’s then easy and fast to locate any important customer-related document directly from the Salesforce CRM user interface. It’s also possible to access any document or Salesforce record directly with the familiar Windows Explorer interface of M-Files right from the standard Save and Open commands in any Windows application — without having to launch Salesforce CRM.
“Documents are one of the key drivers in a customer relationship, for instance, an email, proposal or contract, can initiate or consummate the relationship, however, document management is usually an afterthought in CRM systems,” said Greg Milliken, president of Motive Systems. “Salesforce CRM has revolutionized how businesses of all sizes manage their customer relationships, but since CRM systems are not designed to handle documents, this critical aspect of the process often becomes cumbersome and inefficient, making the CRM system far less productive than it could be. M-Files for Salesforce CRM makes documents an integral component of the CRM system, resulting in increased sales and service team productivity and maximizing the businesses’ investment in CRM. We call this document-driven CRM, and we’re making it affordable and accessible to all Salesforce CRM users.”
Bi-directional connection between Salesforce CRM and M-Files and any application on the desktop
The interface between the two systems is bi-directional, so when customer information is added to Salesforce CRM, it is automatically replicated in M-Files, and can be tagged (or attached) to any document as a property of that document. Customer records can be viewed directly in M-Files without having to launch the Salesforce CRM, enabling fast access to customer information, right from within any application on the desktop. For instance, when creating a Word document, Excel spreadsheet, AutoCAD drawing, etc., using the application’s standard save command, one can simply save directly to the vault and tag the document with an account, contact or case, in the Salesforce CRM. Similarly, the M-Files document vault can be accessed directly within Salesforce CRM, and new documents can be saved directly to M-Files. Customer letters and proposals can be drafted quickly, and dynamic content from Salesforce CRM records can be inserted directly into Word or Excel document templates.
Documents can be accessed even when offline
M-Files for Salesforce CRM is particularly handy for mobile workers since documents can still be accessed without an Internet connection. Any document or group of documents can be set for offline availability; this can be done in an automated fashion, for instance, with defined groups like “all invoices” or “pending proposals,” as well as by ad hoc groups such as “all document recently accessed by me” or “all documents checked out to me.” Moreover, Salesforce CRM records can be created and modified without launching Salesforce CRM — and while offline. Records are automatically synchronized with Salesforce CRM and all documents are securely saved to the M-Files Document Vault immediately, or in the case of offline use, as soon as a network connection is reestablished.
Connecting Salesforce with key documents boosts the productivity of sales and service teams
Integrating M-Files with Salesforce CRM significantly boosts productivity by making all relevant documents instantly available. CRM software is well suited for managing and tracking customer interactions, however documents continue to play a key role in any businesses relationship. Whether it’s a presentation, proposal, contract, purchase order or invoice, a business interaction generally involves a document; something a CRM system is not designed to manage. M-Files expands the functionality of any CRM system with fast, full-text search; version tracking; automated workflow; document check-in/check-out, and integration with document sources such as scanners and email systems. Key features include:
- Bi-directional replication of Leads, Contacts, Opportunities, Accounts, Cases, and other objects between Salesforce CRM and M-Files
- Access Salesforce CRM data from within M-Files, and M-Files documents from within Salesforce CRM
- Fast, full-text searches on any tag or word contained in any document
- Support for all file types and Windows applications using standard File “Open” and “Save” commands
- Tag (or attach) any M-Files document to Leads, Contacts, Opportunities, Accounts, Cases, and other objects in Salesforce CRM
- Version history is automatically maintained for Salesforce CRM objects as well as M-Files documents
- Offline access ensures documents and records are always available from anywhere, even when a network connection is unavailable, such as when traveling
- Secure access permissions can be set for all documents
